• Initial consultation to discuss wedding vision, expectations, logistics, and outstanding planning details. Preferred vendor recommendations and referrals may be provided upon request.• Creation of a comprehensive wedding weekend timeline for vendors, family members, and the wedding party. • Development of a detailed responsibility checklist identifying individuals responsible for gifts, décor, cake topper, bridal portraits, personal belongings, and keepsakes following the event. • Confirmation of vendor services and arrangements approximately two weeks prior to the wedding date. (Client is responsible for providing the names, contact information, and final contracts for all vendors.) • Final planning consultation approximately two weeks before the wedding to review and confirm all wedding details. • Venue walkthrough and final review conducted 1–2 weeks prior to the wedding date with venue staff and vendors, when applicable. (Available for venues located within the Texas Hill Country and San Antonio area.) • Final check-in with the couple 2–3 days before the wedding to review the rehearsal schedule, wedding day timeline, and any last-minute updates. Rehearsal Coordination(Up to 2 Hours) • Coordinate and direct the wedding rehearsal, if requested. • Review ceremony details, processional order, and special instructions with the officiant. • Collect and distribute final vendor payments and gratuities as provided by the client. (All payments must be sealed, labeled, and prepared in advance.) Wedding Day Coordination• Maintain a fully stocked emergency "Fix-It Kit" for minor wedding day needs and unexpected situations. • Arrive up to two hours prior to the ceremony to assist the couple, wedding party, and vendors with final preparations. • Serve as the primary point of contact for vendors and key participants, ensuring smooth communication throughout the event. • Distribute timelines and coordinate responsibilities with vendors, wedding party members, and designated family representatives. • Assist ushers and groomsmen with guest seating and ceremony logistics. • Oversee the placement of personal décor items, floral arrangements, centerpieces, guest book, favors, cake, and other ceremony or reception details. • Verify the location and proper placement of wedding rings prior to the ceremony. • Coordinate and cue the wedding party for processional, recessional, and other ceremony activities. • Ensure the marriage license is properly signed by the officiant and required witnesses before the conclusion of the event. • Transfer bouquets and ceremony florals to the reception area, if requested. • Set up personal wedding items provided by the couple, including toasting glasses, cake-cutting utensils, signage, guest book, and other specialty items. • Manage and maintain the agreed-upon wedding day timeline. • Coordinate with the DJ, band, emcee, photographer, videographer, and other vendors regarding key reception events, including:

• Assist in preparing food and beverages for the couple to enjoy after the reception, if provided by the caterer. • Package and preserve the top tier of the wedding cake, if desired. (Client must provide appropriate storage container.) • Coordinate distribution of bubbles, rose petals, glow sticks, sparklers, or other approved send-off items. • Assist with the distribution of wedding favors to guests. • Oversee collection and transfer of gifts, personal items, décor, and keepsakes to the designated individual(s) at the conclusion of the event.
Package Terms This package does not include vendor booking or reservation services. Clients are responsible for securing and managing all vendor contracts, as well as making any necessary hotel, transportation, restaurant, or accommodation reservations. The Coordinator will provide wedding day coordination services for up to 8 consecutive hours on the event date. For events with more than 250 guests, a minimum of one additional assistant will be required to ensure adequate event support and service. An additional fee of $250.00 per assistant will apply.
